-
-
Logging In (Home Page)
-
Navigate to the URL where your client is hosted, such as https://w.clearlyip.cloud. Log in with your end-user username and password.

-
Review the Call Panel documentation.
-
Click the Call Panel menu option to open Call Panel in a new tab and automatically log in the user.
Call Details
-
This page contains logs for every call made or received by your user. You can filter calls by using the search fields and export the log to a spreadsheet. CDR export to CSV is limited to 100,000 records.
-
Click the Call Details menu option.
-
-
You can view information about each call, including:
-
date and time, duration, the user involved, and the other party’s caller ID.
-
-
-
If the call was recorded, select the play icon to play the recording.
-
If the call was not recorded, a gray disabled icon appears.
-
You can also select any call record and click Download Recording or Delete Recording.
Voicemails
-
This page shows all voicemails for your user and allows you to change voicemail settings.
-
Click the Voicemail menu option.
-
Two tabs contain the voicemail options:
-
Voicemail Box
-
Settings
-
-
-
Voicemail Box Tab – View all voicemails for your user. Select the box next to one or more messages, then choose an action from the buttons at the top.
-
Delete – Deletes the selected voicemail messages from the system.
-
Download – Downloads audio files for the selected voicemail messages.
-
Mark As New – Marks the selected voicemail messages as new and unread.
-
Mark As Read – Marks the selected voicemail messages as read.
-
You can also listen to a voicemail in your browser by selecting the play button next to the message.
-
-
Settings Tab – Change the following settings for the logged-in user’s voicemail box.
-
Voicemail Limit – The number of messages you can store at one time. Once this limit is met, any new voicemail will cause the oldest voicemail to be deleted automatically, making room for the newest voicemail.
-
Voicemail Box PIN – The numeric PIN or password used to access your voicemail box from your phone by selecting the voicemail button or dialing the *97 voicemail feature code.
-
Voicemail to Email – Settings for voicemail-to-email notifications.
-
Enable Notification – Enables email notifications for new voicemails.
-
Use Login Email – Sends voicemail-to-email notifications to the user’s login email address and attaches the voicemail audio file. If you enable this, you can only send it to this email address. To send to more than one email address, use the Send notification to field instead. If you enable this, the "Send notification to" field will be hidden.
-
Send notification to – Provide a custom list of email addresses for voicemail-to-email notifications. If you define more than one here, separate them by commas.
-
Send short notification to – Provide a list of email addresses that receive voicemail notifications without the voicemail attachment.
-
Delete voicemail after notification – If enabled, the voicemail message is deleted after the CloudPBX system sends the email notification.
-
Enable Transcription – If enabled, sends the voicemail file to a third-party transcription API service and includes the transcription in the email notification.
-
Enable Translation – If enabled, the transcription is translated into French.
-
-
Default Post-Greeting VM Instructions – Enabling this will have the system play the following message after your personal voicemail greeting is played to the Caller. "Please leave your message after the tone. When done, hang up or press the pound key."
-
Your Unavailable Message – Message played when a call to your extension is unanswered and you are not on another call or in DND mode. From here, you can upload a new Message or Download the existing one.
-
Your Name – Recording of your name that plays when a caller uses the company directory to find a user’s extension by name in an IVR.
-
Your Busy Message – Message played when a caller reaches your voicemail box while you are on another call or in DND mode. From here, you can upload a new Message or Download the existing one.

Click the Clearly Anywhere option
-
QR Code Login
-
If you already have the app installed, you can scan the QR code from the Clearly Anywhere app on your mobile device to sign you in automatically.
-
You can also click on the "Get Ready with an email" button to send you a link to your email that you can open from your mobile phone and click on the link to auto-login.
-
-
-
You can also manually log in to the Clearly Anywhere app by entering the username, password, and domain shown here. Use the same password that you use to log in to the Client Portal.
-
Lastly, under the Download the Application section, you can click on the Android or iOS buttons to quickly get a link to install the Clearly Anywhere app.
-
Full documentation on how to use Clearly Anywhere can be found here.
My Queues
-
Here you can view all queues that you are a member of and pause or unpause yourself in each queue.
-
Only the PBX client administrator can add a user as a queue member. After you have been added, you can pause or unpause yourself here.
-
Click the My Queues option
-
The page displays the queues that you are a member of.
-
You can see whether your status for each queue is Logged in or Logged in Paused.
-
Select Pause or Unpause to change your current state in that queue.
Personal Conferences
-
This page allows you to create your own personal conference room to transfer callers to. This is also where you can change settings related to your personal conference room.
-
To call into your conference room or transfer callers to it, dial or transfer to *99EXT, where EXT is your user extension number. For example, if your extension is 102, your Personal Conference room is *99102.
-
Click the Personal Conferences option
-
At the top of this page, you can enable or disable your Personal Conference room.
-
Under the My Personal Conference section, you can set the PIN for users to dial when joining your conference room and set the maximum number of callers who can join this room.
-
The administrator PIN used to join the conference is your voicemail password.
-
-
The Options section allows you to configure the following Conference Room settings.
-
Announce User Count – If enabled, announces the number of users in the conference room when a caller joins.
-
Music On Hold – If enabled, plays MOH when only one caller is in the Conference Room so the caller does not hear silence while waiting for others to join.
-
Wait for Admin’s arrival to start – If enabled, non-administrator users remain on hold until an administrator joins the Conference Room. Users cannot hear each other or participate until someone joins using the administrator PIN.
-
Announce User Join/Leave – When enabled, prompts each user to state their name and plays the name when the user joins or leaves the conference.
-
Open the options menu by pressing * – If enabled, users can press * to access options for muting, unmuting, adjusting microphone level, and other settings.
-
Listen only mode (users) – Mutes non-administrator users when they join. If the * options menu is enabled, they can use it to unmute themselves.
-
Settings
-
Settings allows a user to change common options such as Follow Me, Call Forward, and DND.
-
Click the Settings option
-
The Settings section has two tabs:
-
Advanced
-
Account
-
Advanced Tab
-
Call Settings – Configure settings related to calling features.
-
Forward – Lets you define a phone number to which all calls are forwarded. If blank, then you have no call forwarding enabled, and callers will ring your extension.
-
Follow Me – This lets you define one or more numbers that you want to be called when your extension is called. Once you define one or more numbers here, you will get a new section shown called Follow Me Settings, as defined below.
-
Call Waiting – If set to On, an additional inbound call is sent to your extension while you are already on a call. If set to Off, the additional caller is sent to your busy voicemail greeting.
-
Do Not Disturb – If set to Off, inbound calls reach your devices. If set to On, all inbound calls are sent directly to your busy voicemail greeting.
-
-
Follow Me Settings – This section is only displayed if you have one or more numbers already defined in the Follow Me box above.
-
Answer Confirmation – If a call is sent to an external number such as your mobile phone, requires you to press 1 before the caller is connected. This prevents the caller from reaching your mobile voicemail if the phone is turned off or out of range.
-
Delay between devices – Sets how long the system waits before calling the numbers in your Follow Me list. For example, with a five-second delay, only your desk phone rings for the first five seconds; the Follow Me numbers ring afterward if you do not answer.
-
Ring timeout – Sets how long the system calls all numbers in the Follow Me list before sending the call to your user’s voicemail box.
-
Time Condition – If your Client Admin has created a Time Condition for regular business hours, you can link your Follow Me to that Time Condition. Your Follow Me will automatically be disabled during regular business hours and will only enable itself during the time you select, using the Time Condition you pick here.
-
CLID Prefix – Adds a Caller ID Name prefix to calls that flow through Follow Me. This feature may not work with external numbers because many carriers ignore the Caller ID Name sent by the system.
-
User Company CallerID – When calling an external number, the system sends the inbound caller’s Caller ID by default. Setting this on will force it to override that with your user’s external Caller ID that your Client Admin has set up for your user.
-
-
Language – Select the Web GUI language from the drop-down list of supported languages.
-
Available Destinations – Shows the destinations your user is permitted to call, such as toll-free numbers or the United States and Canada. Only your client administrator can change these settings.
-
-
Account Tab
-
Password – Change the password for this user’s login for the Cloud GUI and Call Panel
-
OTP – Enable a one-time password, also known as two-factor authentication, for a user. The supported OTP methods are:
-
SMS – Provide an SMS-capable number. After you log in with your username and password, the system sends an SMS containing the one-time password.
-
Email – Provide an email address. After you log in with your username and password, the system sends an email containing the one-time password.
-
Authenticator App – Download and install the third-party authenticator app on your mobile device or computer, then scan the QR code generated here.
-
Backup Codes – Select this button to reveal backup codes that you can store securely in case you cannot use your two-factor authentication method, such as when you lose a mobile phone configured for SMS.

-
In the new window, select the CSV file containing the contacts to import.

Click Import.
-
The system will provide the status of the import in the Ongoing import summary section.
-
We recommend creating one contact and exporting it first so that you have a valid CSV structure to use as a template.
-
The ID field should remain empty when creating a contact.
-
In a valid CSV file, all fields are comma-separated.
Tags/Personal Tags
Tags are useful to filter what contacts a user can see through permissions or just to group some contacts.
The Tags tab allows you to create a tag that can be associated with any contact.
-
To create a tag, click the Add Tag button.
-
A new window appears where you can add or create the tag.
You can also edit or delete a tag.
Personal Tags
Personal Tags behave like regular Tags in their configuration and settings.
